General Information

These Terms and Conditions govern the services provided by Iberia Epic Tours. By booking online or by phone, the customer accepts these Terms and Conditions.

The Company is not responsible for errors resulting from the customer's lack of awareness of current regulations. For any questions, please contact us by phone or email.

The Company reserves the right to update these Terms and Conditions at any time. Customers are encouraged to consult the latest version available at www.iberiaepictours.com.

Iberia Epic Tours is committed to providing safe, comfortable and enjoyable journeys while meeting customer expectations.

Booking Procedure

Customers must provide accurate booking information, including passenger names, travel dates, pickup times, addresses and payment details.

The Operations Team will acknowledge the booking and contact the customer regarding payment. Any booking changes must be communicated promptly, and customers are responsible for ensuring the Company has received the updated information.

Reservations are reconfirmed approximately 24 hours before pickup. If confirmation has not been received, customers should contact the Company immediately.

Pricing

Prices include tolls and taxes unless otherwise specified. Additional services such as extra stops or waiting time may incur additional charges.

Prices are based on current operating costs and may change due to exchange rates, fuel prices or taxation.

Travel Time

Estimated travel times are provided for planning purposes only and may vary due to traffic, weather conditions or unforeseen circumstances beyond the Company's control.

Payment

Payments are accepted by credit card or bank transfer. Bank transfers must be completed at least seven (7) days before travel.

Credit card payments are processed through secure online payment links to ensure customer data privacy.

Changes to Bookings

Booking modification requests should be submitted by email or telephone and are only valid after confirmation from the Operations Team.

Additional charges may apply for changes involving waiting time, extra stops or changes in passenger numbers.

Last-minute modifications (within 48 hours of travel) may also incur additional fees, subject to availability.

Cancellation Policy

Last-Minute Bookings

Iberia Epic Tours will make every reasonable effort to accommodate last-minute bookings, depending on the route, vehicle availability and season.

The Company reserves the right to refuse last-minute bookings without providing a reason.

Company-Initiated Changes or Cancellations

In cases of force majeure, including war, natural disasters, epidemics or severe weather conditions, the Company may modify or cancel bookings.

Where cancellation is initiated by the Company, customers will receive a full refund.

Child Pricing & Child Seats

All infants and children count toward the total passenger capacity of the vehicle.

Child seats are supplied free of charge. Customers must inform the Company in advance of the number and ages of children travelling.

Customers wishing to use their own child seats should notify the Company beforehand to ensure compatibility.

Luggage

Customers must accurately declare the number and approximate size of all luggage.

Where required, the Company may upgrade the vehicle or provide a luggage trailer. Trailer fees are non-refundable unless the Company upgrades the vehicle instead.

Flight Delays or Cancellations

Flight arrivals are monitored online whenever possible.

Delays exceeding one hour may result in additional waiting charges.

Cancelled flights remain chargeable in full. Invoices can be supplied for insurance claims.

Contact, Waiting Time & No-Shows

No-shows are charged in full.

Vehicles & Upgrades

Vehicle images displayed on the website are for illustration purposes only.

Vehicle colour and model may vary depending on availability. If the booked vehicle is unavailable, an equivalent or superior vehicle will be supplied at no extra cost.

Liability

The Company's liability is limited to direct damages up to the value of the booked transfer.

The Company is not responsible for missed flights, traffic delays, weather conditions or actions of third parties unless caused by Company negligence.

If the destination cannot be reached, reasonable alternative transportation will be arranged, with costs limited to the equivalent local taxi fare.

In situations involving severe weather or safety concerns, the Company reserves the right to determine the safest available solution.

Customer Responsibility

Customers are responsible for providing accurate booking details, including addresses, contact information, passenger ages and luggage information.

Parents and guardians are responsible for minors and for any damage caused by passengers travelling under their supervision.

Seat belts must be worn at all times. Smoking and alcohol consumption inside Company vehicles are prohibited.

Customers authorize the Company to recover the costs of repairing any damage caused by themselves or members of their group.

Force Majeure

The Company shall not be liable for delays, modifications or cancellations caused by circumstances beyond its reasonable control, including accidents, police actions, terrorism, strikes, severe weather or other force majeure events.

Legal Jurisdiction

These Terms and Conditions are governed by Swiss law.

Any disputes should first be resolved amicably or through mediation. If no agreement can be reached, disputes shall be submitted to the competent courts of Fribourg, Switzerland.
